Movin’On (“we” or “the organiser”) is a coalition of companies and a public-interest do-tank committed to sustainable, competitive mobility that can be deployed at scale. Movin’On brings together more than 200 leading mobility stakeholders: companies, cities, countries and civil society. As a French non-profit association governed by the 1901 law, Movin’On is independent and not-for-profit. We act in the public interest by supporting the development of a sustainable mobility ecosystem and the deployment of economically self-sustaining mobility solutions, developed in consultation with local authorities and users. Movin’On is committed to protecting your personal information and taking a clear and transparent approach to the information we collect and how we use it. This policy explains how we process the personal information we collect, or that you provide to us, when you use our website and digital services, take part in an event or competition, join a community of interest, or participate in any other initiatives we may organise.

This policy also applies when we process your data for ticket sales, event registration and participation management, the use of mobile applications or any other initiative carrying the Movin’On brand.
It also applies to all communications and interactions you have with us or our processors, whether through our websites, instant messaging, email, in person, by telephone or on social media.

This document is our main personal data policy covering the use of the website, digital products and services, and all Movin’On initiatives. However, additional information may be provided in personal data policies specific to certain digital products and services. When you use certain websites or other digital products and services that we provide, information may be collected through cookies to distinguish you from other users of our website and other digital products and services. We have a separate cookie policy explaining how and why we use cookies. We encourage you to consult our cookie policy, available in the footer of the website.

Linked platforms

Our website may contain links to and from the websites and digital platforms of our partner, advertising and affiliated networks and social media. If you follow a link to any of these websites, please note that they have their own personal data policies and that we cannot accept any responsibility for those policies. Please consult them before providing personal information to these websites.

If you subscribe to one of our digital products or services through an account, we will request information that enables us to identify you and provide you with the relevant products and services.

Account data will be processed to operate our websites, provide the digital services to which you have subscribed, communicate with you about these digital products and services, and back up our services.

Account data will include your full name and email address. We may also ask you to create a password so that you can securely log in to your account.

This processing is based on your consent, given when you register.

We retain account data for as long as the account exists. If you do not access your account for more than 24 months, we will delete the account data so that we do not retain it longer than necessary. You can of course create a new account if you wish.

Information you provide when responding to a survey, completing a questionnaire, or submitting a review or feedback.

In most cases, surveys and questionnaires are anonymous. If this is not the case, we will inform you when the information is collected. Where this feature is available, your reviews and feedback may be published on one of our websites. You will of course be informed.

This information may include your name, email address and any other personal information requested.

The legal basis for this processing is our legitimate interest in seeking your feedback to support continuous improvement.

Any information collected following a survey or questionnaire will be deleted within three years of your submitting your responses. Any information retained will be statistical data only.

Information you provide when communicating with us, for example by email, through the contact form on our websites or through the live chat function on our website.

This information is used to enable us to respond to or follow up on your comments, requests or questions.

The information may include your full name, email address and other personal data you provide to enable us to process your communication.

We will rely on our legitimate interest in assisting you and responding to your questions as the legal basis for processing Communication Data.

We will retain Communication Data for as long as necessary to process the matter related to that communication. Once your issue has been resolved, we will delete the Communication Data within 6 months.

If you indicate that you would like to receive further information by subscribing to one of our newsletters or communications, or those of our partners.
As part of our services and across the Movin’On ecosystem, we enable stakeholders (guests, participants, partners, members of communities of interest, experts, start-up representatives, etc.) to interact directly or through us, or by sharing your information with other members when we consider this relevant.

The data is processed to send you notifications and/or newsletters and/or any other informational communication.

We will ask for your name and email address so that we can send you the information requested.

The legal basis for this processing is consent.

Your information will be retained for 3 years after our last contact.

Information you provide when taking part in an event.

This data is collected to enable you to interact with all participants. At any time, you may tell us that you do not want your personal information to be shared with other members of the Movin’On ecosystem.

In this context, we collect information about your exchange of contact details with other participants, the activities you registered for and your evaluation of the various sessions. We generally use this information to subsequently analyse and assess the activities offered through our various initiatives and for follow-up purposes.
The data may include, for example, your first and last names, photograph, email address, professional contact details, job title, interests, dietary preferences, communication language and preferred means of communication.

The legal basis for this processing is our legitimate interest in providing a high-quality, effective ecosystem and contributing to its continuous improvement.

Your information will be retained for 3 years after our last contact.

This data is collected to enable you to interact with all participants. At any time, you may tell us that you do not want your personal information to be shared with other members of the Movin’On ecosystem.

For ticket purchases, where applicable: we collect the same information, together with any information you provide when purchasing tickets for the Event. As all payment details are processed by our trusted third-party payment service provider, we do not store any information relating to your card or payment details.

The conclusion of an agreement between you and us for participation in an event.

We will delete the data collected no later than 3 years after the event.
 


Voluntary information

When you provide us with information (for example, the information described in the scenarios above), in some cases we may also ask you for additional information on a voluntary basis. This information will be identified as optional and used to help us understand you better and personalise our services.

Statistical information

We also collect and use aggregated data such as statistical or demographic data (“Aggregated Data”). Aggregated Data may be derived from your personal information but cannot reveal your identity in any way. For example, we may combine your Usage and Device Data to calculate the percentage of users accessing a specific feature of our website. Aggregated Data is used solely for our own purposes.

Sensitive personal information

Although we do not request sensitive personal data, some sections of our websites allow you to submit additional information, for example when you submit a review or dietary preferences. If you submit information in a free-text field, only provide information you are comfortable sharing and always bear in mind that it may be sensitive. If you submit comments or suggestions on our website, remember that this information may eventually be visible to other users of our website.

Minors and personal information

In general, we do not target minors and do not knowingly collect information relating to minors. If we become aware that we hold any information about a minor under 15, we will take all necessary steps to comply with applicable personal data protection regulations, including deleting that information where necessary.

6. Information relating to our communications, invitations and newsletters

You will receive communications, invitations and newsletters from us only (i) if you wish to receive them, (ii) if you have already taken part in one of our events, (iii) if one of our partners has shared your information with us, or (iv) if the communication relates to your professional, academic or voluntary-sector activities.

In this context, we use the information you provide to us or that is shared with us, generally your name, email address and the name of your company/university/administration/association/foundation.

In all cases, you can unsubscribe or stop receiving communications from us at any time: (i) by clicking the unsubscribe link at the bottom of each communication we send you; or (ii) by contacting us by email or post using one of the contact details provided in paragraph 1.

We may send you communications until you decide to unsubscribe. However, if we have not heard from you for 3 years or if we notice that you have not opened our emails, we will delete your contact details from our database. You can resubscribe at any time.

7. Information we collect about you from other sources

To enable us to provide our services, we may receive personal information about you from other sources, including:

  • We may receive information about you if you use any of the other websites we operate or the other products and/or services we provide. We also work closely with third parties, including, for example, business partners, technical subcontractors, payment services, analysts and research information providers, and may receive information about you from them. The legal basis for this processing is our legitimate interest in monitoring and improving our website, products and services.

  • Information from our web server logs, such as information about your computer, including your IP address, operating system or browser type. We may also collect information about the searches you conduct on our website and your interaction with the communications we send you, for example when you open email communications (“Usage and Device Data”). We use this information to administer our systems and analyse how our websites and digital platforms are used. It also enables us to provide the best online infrastructure for your digital activities. The legal basis for this processing is our legitimate interest in monitoring and improving our website, products and services. As mentioned above, we collect information, using cookies or similar technologies stored on your device, about how you use our website and our digital products and services. Cookies contain information transferred to your computer or mobile phone/tablet hard drive. They enable us to improve our websites and provide a higher-quality, more personalised service. The legal basis for this processing is your consent or, where applicable, our legitimate interest in monitoring and improving our website, products and services.

  • Our website may enable you to share your experience and communicate with us through third-party social media such as YouTube, LinkedIn and X. We may collect this information from our social media pages, including likes, shares and tweets, as well as from the content of social media sites. We do not control the privacy of information you provide on social media, and the personal data policies of those social media platforms will apply when you use their services.

  • Information about you from other reliable information sources. This information will be collected from publicly accessible records, such as data relating to your public life.

8. Where we store your personal information

All information you provide to us is stored on secure servers in the EEA.

Although we are committed to protecting your personal information, the transmission of information online via the internet is not completely secure. We, together with our service providers, will do our best to protect your personal information, but any information you provide is at your own risk.

Your personal data will be disclosed only to people who need to know it in order to carry out their duties.

With processors

Movin’On may share your personal data with processors it may use to process your request or provide services, including IT and system administration services such as hosting, email services, and review and feedback management. These processors are contractually required to ensure the confidentiality and security of the personal data they receive and to process your personal data only on our instructions.

With partners in Movin’On initiatives

All initiatives are organised by the Movin’On coalition of companies, a public-interest do-tank committed to sustainable, competitive mobility that can be deployed at scale. Movin’On brings together more than 200 leading mobility stakeholders: companies, cities, countries and civil society. Accordingly, to promote interaction between participants in our events or initiatives and Movin’On partners, we inform you that your data may be shared by the organiser.

With third parties for legal reasons

If we are required to disclose or share your personal information in order to comply with a legal obligation, enforce or apply our terms of use or any other contract, or protect the rights, property or safety of Movin’On, its customers or others. In this context, and where necessary, we may share your personal information with any external counsel bound by a duty of confidentiality.

10. International transfers of personal data

Movin’On is an association with an international presence and databases in the various countries where it operates. Movin’On may transfer your personal data to one of its databases or to one of its external partners located in a country other than your own.
As the level of data protection varies from country to country, we will transfer your personal data to third-party companies outside the European Union only if they provide the same level of personal data protection as we do.

Transfers of data outside the EEA to another country (to a partner or processor) are governed either by our processors’ BCRs or by contracts containing the European Commission’s clauses, for providers established outside the EU, to ensure a level of protection similar to that in your country of origin, or by adequacy decisions in accordance with Article 45 of the General Data Protection Regulation (2016/679/EU).

11. How long we retain your personal information

As a general rule, we will not retain your personal information for longer than necessary to fulfil the purposes for which it was collected, regardless of the purpose, including meeting any legal, accounting or reporting requirements. For more specific information about how long we retain your personal information, please refer to paragraph 5 of this policy.

To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of unauthorised use or disclosure of your personal data, the reasons for processing your personal data, whether we could achieve those purposes by other means, and applicable legal requirements.

In some circumstances, you may ask us to delete your data: see your right to erasure below for further information.

In some circumstances, we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes. In this case, we may use this information indefinitely without notifying you.

The right to be informed

You have the right to be informed about how we collect and process your personal information, including who we are, how we use your personal information and your rights in relation to it. We have brought together all the necessary information in this privacy policy.

The right to access your information

You have the right to access the personal information we hold about you.

We can confirm whether or not your information is being processed and give you access to your personal information.

The right to correct your information

If your personal information is inaccurate or incomplete, you have the right to have it corrected and updated. If we have disclosed your information to third parties, where possible we will inform them of any update you have provided to us. You can update the personal information we hold about you by contacting us using the contact details provided in this personal data policy.

The right to delete your information

You have the right to request the deletion or removal of your personal information where we have no reason to continue processing it. Circumstances in which you may exercise the right to erasure include situations where the information is no longer necessary for the purpose for which it was originally collected or processed, and situations where you have withdrawn your consent to processing.

The right to restrict processing

You have the right to “block” or prevent the processing of your personal information. If you ask us to remove your personal information, we will stop processing it.

The right to data portability

If you wish to move or transfer your personal information to another service provider, or copy your information for your own purposes, you have the right to have your information transferred to another person.

The right to object

You have the right to ask us not to process your personal information for marketing purposes. We will generally inform you, before collecting your data, if we intend to use your information for such purposes or disclose it to any third party for such purposes. You can exercise your right to prevent this type of processing by checking certain boxes on the forms we use to collect your information. 13. Remedies available to you if you are dissatisfied

We are committed to protecting and respecting your privacy. However, if you are dissatisfied with how we collect or process your information, or if you simply want more information about your rights, you can email us at privacy@movinon.eu

We will do our best to resolve any issue you may encounter and answer all your questions as quickly as possible.
If, after contacting us, you believe that your rights have not been respected or that the access control system does not comply with data protection rules, you can lodge a complaint with the CNIL or any other data protection authority with jurisdiction over you.

14. Data security

Movin’On has implemented measures to protect the confidentiality, security and integrity of your personal data. Access to personal data is restricted to employees and service providers who need to know this information and who have been trained to comply with confidentiality rules.

On Movin’On’s commercial websites, bank details will be collected to provide efficient, lawful and secure payment processes. These measures may include SSL encryption, designed to make data unreadable to third parties, when confidential data is collected or transferred. The information concerned will be used only for online payment and will not be retained.

Movin’On is committed to ensuring that your personal data is not altered or damaged and that unauthorised third parties cannot access it.

We may amend our policy from time to time. Any future changes to this policy will be published on this page. If you have an online account with us, we may notify you of any changes by email or through your account the next time you log in.
